Practicalities
This site is mainly for employees at the Center for Geomicrobiology. Here you find information about administratively related tasks that you are expected to undertake yourself.
Purchasing travels and other items
When you purchase something, remember to give the salesman the correct EAN-number: 5798000419988. Be aware that the shipping/delivery address and billing address must be disclosed as two separate addresses. This is done to ensure that the paper invoice from the supplier comes to AU Accounts directly. This invoice will be scanned and get in the flow just like the "fully electronic" invoices.

Consider to apply for an AU-Master Card with which you can pay for expenses when you travel. Find form here. Sissel will help you if you do not have an AU-Master Card and need to pay online, e.g. for conference registration and payment of abstract fees.
AURUS: Aarhus University’s travel and expense reimbursement system
AURUS is used for all travel reimbursement, all out-of-pocket expenses and for advances. AURUS runs in a normal internet browser. To get access to AURUS (for new employees), fill out the form that you find here. The login page is https://aurus-8000c.asb.dk.
If you have forgotten your password, write an email to AURUSHOTLINE@adm.au.dk.
Important details:
- Project number and activity code: In order to get reimbursed, you must type in the number of the project account where the money should be taken from and an activity code. Find "your" project account in the excel sheet on the server (X-Bio-geomicro-AURUS-For reimbursement of travels and other expenses).
- Scanned receipts: For every expense you fill in, you must attach an electronic version of your receipt. If you are working on an EU-project, you must send the original receipts to "AU Rejser" (in an internal envelope) with the number on your AURUS reimbursement claim.
- You must choose Irene Hjortsberg as your "controller".
- Sissel knows how to use AURUS. If you encounter extraordinary problems, you can ask Birgitte Dahl.
Work contract, salary and personal grants
Questions about your contract should be directed to the Faculty's HR-department. Contact persons are Charlotte Helbo and Rita Willumsen.
Questions about your salary should be directed to our local HR-department. However, this does not apply to PhD employees, who need to contact the Payroll Office (find you personal salary administrator here).
Questions about your personal grant - if you have one - should be directed to the Faculty's Economy Section, ØCS.
IT-FAQ
For any question about registration, software or hardware, write an email to helpdesk@nfit.au.dk. Make sure that the subject is understandable; for example “Biology: Printer problem in building 1535”.

Building maintenance
We belong to "Driftsområdet NAT I", and all tasks concerning maintenance can be entered via the email address: STBYG1service.okoplan@au.dk. Alternatively, call 8715 0526 to talk to a manager.
Registration of holiday and absence
All Center employees register holidays and absense by writing an email to Sissel or Marianne Vedsø. In the center's internal guide for new employees you find general information on holiday and how the Danish system works. Remember that it is possible for you to check your own holiday and special holiday balance: Go to self service, enter your CPR-number and your chosen access code, click on the menu "Flere valg" (only in Danish), click on "Afholdt fravær", click on "Vælg årsag", and point "Ferie". You can now check your holiday balance.
The following days are national holidays for all employees at Aarhus University: New Year's Day, Maundy Thursday - Easter Monday (incl.), General Prayer Day, Ascension Day, Whit Monday, Constitution Day, Christmas Eve - Boxing Day (incl.), New Year's Eve.
